Can providers bill for MindMetrix?

If you’re a prescriber, and spend 31 minutes or more (including prep time) reviewing MindMetrix results with a patient, you're likely eligible to bill CPT code 96130 in addition to your Evaluation & Management visit code. The amount and coverage depends on payor and your specific contracts. Practices should confirm with their billing team and ensure documentation meets all internal and payer-specific requirements. How does the diagnostic probability feature work?

MindMetrix calculates post-test probabilities based on patient responses to validated psychiatric rating scales. The algorithm weighs symptom patterns and severity to generate a probability score for over 60 DSM-5 conditions. Can MindMetrix be used for both initial assessments and ongoing care?

Yes. Clinicians use MindMetrix both at intake to inform diagnosis and treatment planning, and periodically during care to monitor symptom progression or treatment response. The platform supports longitudinal tracking of patient symptoms over time through our Follow-Up Testing feature, which we recommend administering every 6-12 months.

How long does it take for a patient to complete the assessment?

On average, the full assessment takes around 30-60 minutes to complete. Completion time tends to vary based on patient age and the breadth of symptoms they are experiencing. Patients can take breaks at any point and return to the assessment where they left off.

What reading level is needed to complete the assessment?

The adult version requires approximately a 7th-grade reading level, while the adolescent version is written at about a 5th-grade level.

What patient populations does MindMetrix support?

MindMetrix offers assessments for both adults (18+) and adolescents (13–17). The adolescent version includes a collateral report from a guardian or parent to capture concerns from multiple perspectives.

Can MindMetrix help me chart and bill for the results review?

MindMetrix includes QuickChart, a tool that helps automate a structured chart note summarizing key clinical findings. Many clinicians use this documentation to support their billing workflows for assessment services, including CPT 96130. While MindMetrix can help generate the clinical documentation you may need, we do not provide billing advice, determine medical necessity, or guarantee reimbursement. Coverage and payment decisions vary by payer, plan, and clinical context, and all billing should follow your organization’s policies and applicable regulations. How is MindMetrix different from other screening or assessment tools I’ve used?

MindMetrix combines broad diagnostic coverage and clinical depth in a single, adaptive assessment, screening for 60+ DSM-5 conditions at once, not one scale at a time. There is no setup required, and patients can complete the assessment from any device. Unlike point-solution screeners, MindMetrix produces a clinically useful report, not just raw scores. It integrates peer-reviewed rating scales, Bayesian condition modeling, symptom-level detail, collateral/guardian input for adolescents, and a QuickChart summary that makes EHR documentation fast and consistent. Because it was built by psychiatric clinicians, the workflow reflects real clinical practice: one assessment, clear triage value, and far deeper insight than traditional screeners or intake tools.

How do I invite patients to complete the assessment?

From your secure provider dashboard, click “Invite Patient” and enter their name and email address. You’ll be prompted to select adult or adolescent. For adolescents, you'll also enter a guardian’s email to initiate the collateral portion first.

Does MindMetrix flag suicidality?

Yes. The platform incorporates the Columbia-Suicide Severity Rating Scale (C-SSRS) and flags concerning responses in the report. Clinicians are immediately notified via email if a patient’s report contains Moderate or High risk responses on the C-SSRS. Test-takers are presented with safety resources throughout the testing flow. It is important to note that MindMetrix is not an emergency or crisis response tool: clinicians must develop their own protocols for handling high-risk patients flagged through the assessment.

When is the best time to administer MindMetrix?

Clinicians use MindMetrix at different points in care, depending on their workflow. Some practices send it before the first visit and find it helpful for triage and preparation. Others prefer to wait until after the intake, especially when their existing paperwork is already extensive or when they want patients to take the assessment more seriously after an initial conversation. Many clinicians administer MindMetrix during treatment if a patient is not experiencing improvement as expected. The most common approach among our customers is to administer MindMetrix after the first visit, allowing clinicians to gather history and impressions first, then use the report at the follow-up visit to create a collaborative, data-driven treatment plan.

How should I explain the assessment to patients?

We recommend letting patients know that they’ll be receiving an emailed link to take the MindMetrix assessment. A simple way to introduce it is: "Before our next visit, I’d like you to complete a comprehensive screening. It helps identify a wide range of mental health conditions, and gives me a clearer picture of what you’re experiencing so I can better tailor your care.” You can also explain that MindMetrix gathers detailed symptom data and screens for over 60 DSM-5 conditions. Let patients know that completing the assessment gives you meaningful data to guide diagnostic decisions.

Should I share the report with my patients?

Yes, we generally recommend sharing the report with patients. MindMetrix reports are thoughtfully worded to ensure they do not imply a diagnosis. Instead, they offer a data-driven overview of symptom patterns to support your clinical decision-making. Because some reports can be lengthy or include sensitive information, we suggest reviewing the report with your patient before sharing it directly. This allows you to provide context, answer any questions, and highlight the most relevant findings in a supportive, collaborative way. Ultimately, use your clinical judgment to determine what’s most appropriate for each individual patient.

Is the report going to be sent to patients?

By default, reports are not automatically sent to patients. Clinicians control whether a patient sees their results and, if so, when. Many clinicians choose to review the report together during a visit and then decide if sharing a copy is appropriate.

Will patients get to sign off on privacy policy and consent language?

Yes. Before starting the assessment, patients (and guardians, when applicable) are automatically presented with MindMetrix’s terms of service and privacy policy, which outline how the assessment works and how their information will be used. They must acknowledge this language before proceeding.

How does MindMetrix treat patient data?

Here’s how we handle patient data in a transparent, accurate manner:

  • MindMetrix securely stores and transmits all patient information in accordance with HIPAA regulations and industry best practices to ensure full compliance and data protection.
  • We collect the minimum data necessary to provide the assessment service: identifiers (name, DOB, email), health-related symptom information, device/usage information, browser/IP logs, and (if you opt in) survey responses.
  • Data is stored securely: we use encrypted connections (TLS/HTTPS) and take reasonable administrative, technical, and physical safeguards.
  • We only share a patient’s Personal Information with the ordering healthcare provider (or other providers you authorize) as needed to deliver the assessment report.
  • We may also share de-identified or aggregated data for research or analytics purposes; this data cannot reasonably be used to identify you. Participation in research use is voluntary and does not affect your access to the Services.
  • We do not sell Personal Information to third parties.
  • If you are a U.S. resident, you have rights under applicable state privacy laws (e.g., California CCPA/CPRA, Colorado CPA, etc.) to access, correct, delete or export your data. MindMetrix
